Planning and Organising an Event

There are three main components to planning and organising any sort of event:

Getting there, things to do, food and drink.

Here are some things to think about when planning and organising and event:

Getting there

This is key to everything that happens after. Google Maps or your SatNav will help but actually driving the route will highlight potential problems and issues. Create a route card and make sure everyone has a copy. Keeping a convoy of cars together isn’t easy so it’s often better to travel in small groups.

Allow enough time. A group of TRs is slower than a single modern car. If Google says the journey will take 1 hour add on at least 30 minutes. Unexpected road works, accidents, breakdowns and diversions can all slow down the journey. For longer journeys add in a pit-stop so people can relieve themselves and grab a drink if necessary.

Things to do

Doesn’t have to be complicated. A National Trust property, a museum, car show or event. They sort of organise themselves and they will have booking processes and instruction on what to do. All you need to do is publish the details on the WFTR Website.

Adding an event isn’t complicated. Let Barry know and you will be given a login and instructions on what to do. When you do create your event you will need a suitable promotional image (known in the event manager as a featured image). You can usually find an image on the location or event website.

If you get stuck there is a link on the page to online help. Or ask Barry.

Some events need prepayment. There is an option on the editor to add the amount and then collect payment. If you don’t need payment in advance don’t check the ‘Pre-payment required’ box!

Food and Drink

Book Ahead. Most places we visit need to know in advance. Locations can sometimes give us preferential parking. Pubs like to get food pre-ordered.

Many locations have a cafe so getting there early allows participants to refresh themselves before doing whatever.

If the location cafe doesn’t offer food a pub local to the location is the best way to do things. Try not to make the booking too late in the day – anything past 2pm and people are getting hungry and then still need to get home.
